Hi Cirque-ability Clients,

This email is to let you know what to expect at your upcoming Cirque-ability class.

What to Wear:

  • Hair tied back (avoid any hard clips or hair accessories that might hurt when rolling)
  • No Jewellery (even rings, if you hurt your finger, it will swell and the ring will have to be cut off)
  • Barefoot or grippy socks/gym slippers (most participants go barefoot)
  • Shorts, leggings or sweats (those enrolled in aerial will want pants that cover the backs of the knees)
  • Tank top, t-shirt or leotard
  • In the winter, it's ideal to wear a tracksuit over top of training clothes.  We do not have change rooms available.  Please arrive ready for class.

What to Bring:

  • Water Bottle (no glass please!)

Please do not attend class if you are sick or contagious.

Participants must stay home if they meet any of the following criteria:

  • A doctor or Toronto Public Health recommends isolation based on exposure or symptoms
  • Covid Positive
  • Fever within the last 24 hours
  • Vomiting/diarrhea in the last 48 hours
  • Contagious rash or contagious skin condition that can't be fully covered.  Please cover contagious warts.  
  • Lice
  • Contagious pink eye

If you don't meet the criteria above to stay home, but want to attend class with cold symptoms, a mask is required to participate.

Missed Classes

Unplanned absences cannot be made up or credited. Planned absences are eligible to be made up.  Full policies and instructions sent out in a separate email. 

How to book make-up classes

Arrival

Outside door is typically opened 5 minutes prior to your start time.  If you are early, please wait until your class start time to ring the bell. 

If you arrive on time or late and the door is locked, please ring the doorbell located beside the garage door to enter. 

Upon entering the space, please take off all shoes on the entrance mat and put them on a boot tray.  Please do your best to keep the black speckled floor dry so that people can put shoes on and off without stepping in puddles and people can walk to the washrooms without getting feet wet.

Next, continue past the entrance area and hang any items on the hooks in the hallway.

If it's your first class, please let your coach know of any important health issues (ex. where you keep a puffer for asthma)

Main Gym classes coach will great you at the gym doors by the waiting room (the room with the chairs) 

If you arrive late, make your way into the gym and let the coach know you have arrived.

Waiting Room

If you have multiple classes  and there is a break between your classes, you are welcome to wait in the waiting room. 

Kitchen/Staff zone (behind red curtain), main gym, mini gym and areas behind any closed doors are off limits to those using waiting room. 

Any snacks or drinks consumed in waiting area must not leave a trace (please take any garbage or crumbs with you).

Class Check-Out 

Please leave the facility promptly once your class has finished.  We want to avoid congestion in the entrance area and ensure we have space for our next scheduled class to enter.  

Our coaches rely on the 5 minutes between classes to update skill tracking in the Jackrabbit portal.  If there is something you wish to discuss, end of class isn't a suitable time and you must email the office to set up a time to chat or catch them during the 5 minute arrival time. 

Note for those driving:

  • Free Street parking is available on local side streets, but is extremely limited on St. Clarens.  Arrive early and allow time to walk over from adjacent streets. 
  • Please do not let your car idle for more than a minute if you are waiting in your car waiting for a participant.  Please turn off your engines.  
  • Please be aware that arrival/departure can be a busy time, please be safe and watch out for anyone crossing the road.
  • Please do not pull into the neighbours driveways, it's frustrating for them and we want to be respectful of our neighbours on the street.

Follow us on instagram and facebook!  We love to share what our participants are up to on social media, so tag us in any skill or progress posts!  On occasion, we'll share images or video from class in our instagram stories or posts.

  • Phones can be beneficial to capture photos or skill progress, but can also be distracting to the class environment.  Children/teens distracted by their phones will be asked to put their phone in their bag for the duration of class.

Closures and Cancelled classes

Cirque-ability is closed all stat holidays and also over the Christmas Break (dates TBA).   We pro-rate for planned closures.  We will always send an email if we need to cancel a class.  Make sure you receive our emails in your inbox so you don't miss anything important and add all guardians as contacts in the Jackrabbit portal if you want them to receive the emails.  If we need to cancel a class unexpectedly less than an hour from the start of class, we will call the contact number on file.  

Arrival

The coaches will call your children into the gym from the waiting area.  If your child is carrying medication that they may need quickly during the class, please communicate that to the coach at drop-off and let them know where it will be.  

If you are late and the front door is locked, ring the bell beside the garage door.  (No one will be answering the gym phone while they are coaching, so the bell is the only way to get in).

If you are bringing your child into class late, please make eye contact with the coach or get their attention before leaving to make sure the coach is aware that the child has arrived. 

Participation

Children in drop-off classes must enter the gym independently and use the washroom independently.  Parents are not permitted in the gym unless their child is signed up for a parent & child class.  If your child can enter the gym independently, but can't use the washroom independently you must stay on site during class

Children in parent accompanied classes are permitted one parent/guardian to accompany them in the gym.  Siblings aren't permitted unless they are registered for the class.  Babies in carriers or bucket seats are okay if accompanying parent can manage assisting both the registrant and the baby.  

Waiting Room

One parent per participant is permitted to enter the facility with their child.  We understand at times you may have participant's siblings in tow as well, but please bring quiet activities for them, as they will not be permitted to run around the facility and need to be directly supervised for safety.

Please be aware that our waiting room is not set up to be a viewing area. You are welcome to watch through the doors here and there when people aren't going in and out, but please do not move the chairs in the waiting area in front of the doorway.  For a glimpse of what the kids are up to in the mini-gym, there is a tv in the entrance area with a video feed but please avoid standing there during the start and end of class when classes are coming in and out.

Class Check-Out

Lost & Found

Belongings left behind will be placed in our lost and found which is by the viewing tv in our front entrance area.  If you leave something behind, feel free to pop in during any of our opening hours to look for it or you can retrieve it at your child's next class.  Uncollected belongings are donated at the end of December classes, June classes and August classes, so be sure to check for any important items before those dates.

Camp Registration Email

Hi Parents,

We're looking forward to a great summer at Cirque-ability!

This is an information email with everything you need to know about a week of camp at Cirque-ability. Please make sure to read this email in full prior to your child's first day of camp and save this email for reference.  

PORTAL LOGIN

Please login to the portal above and confirm the following:

1) Review your child's medical info in your child's profile.  Make sure you've included anything important that we need to know like allergies or if your child carries an epipen or an inhaler.  *Click the 3 lines in the top right corner, Click account, View "Student name & click the pencil icon to edit the information"*

2) Review your contact information and make sure that we have the correct phone number(s) on file for any parent /guardian contacts. *Click the 3 lines in the top right corner, Click account, Click contacts and click the plus sign to add a contact or click edit to edit an existing contact*

3) If the listed contacts/parents on the account are not able to answer phone calls during the day, please make sure you've listed an emergency contact that we will be able to reach during camp hours if needed. *Click the 3 lines in the top right corner, Click account, Scroll down to Family Settings and click the pencil icon to edit and scroll down to add//edit emergency contact info*

4) Confirm your camp dates.  Double check that you registered for the correct camp week and that you see it in classes or upcoming classes in your child(ren)'s schedule in the portal.   If you see a camp week in the waitlist section, that means you did not register into that camp week successfully. 

WHAT TO WEAR

  • All clothing should be free of zippers/metal fasteners which can damage equipment. 
  • Your child should wear a leotard or tshirt  or tank top with 3/4 or full length leggings/athletic pants that cover the backs of the knees (This protects their skin while doing aerial).  They can choose to wear shorts instead, but the aerial equipment may hurt the backs of their knees more. 
  • All jewellery must be removed
  • Long hair tied back. 
  • Most students are barefoot, but grippy socks can be worn if preferred.
  • Shoes appropriate for walking to local parks.  
  • Sunscreen (or you can pack it in their bags if you want them to put it on at lunch)

WHAT TO PACK - Please label everything

  • Water bottle (no glass)
  • Two Snacks (for morning and afternoon snack break) - NUT FREE
  • Lunch - NUT FREE (please be aware that campers don't have access to microwave or fridge at camp)
  • Sunscreen (staff will ask all campers that have sunscreen in their bags to put it on at lunch)
  • Hat
  • Shorts (optional)
  • Change of dry clothes (for splash pad days Tuesdays & Thursdays)
  • If you are sending your child with an epipen or puffer or another important medication, please make sure you communicate that to a staff member on the first day (in addition to including the info in medical info in the portal)
  • Quiet activities for lunch (optional) - Campers have lunch 12-1pm and have free play after lunch.  We have some cards, board games, colouring sheets, but if your camper wants to bring their own board game or toy, they are welcome to.  No screens, devices or video games please.

STAY HOME WHEN SICK

As per our policies, we do not offer refunds, credits or make-ups for missed camp.  

ARRIVAL 9:00-9:05am (Pre-Camp Supervision registrants 8:30-8:35am)

If you arrive early, please wait outside. Coach will unlock door at the times listed above.  If you are late, knock or ring the doorbell located beside the garage door.  If no one has heard you, text the coaches gym ipads via imessage or email at  cirqueabilitycoach@icloud.com. 

Please sign your child in with a coach at the check in desk.  At this time, you will also write down anyone who has permission to pick up your child at the end of the day.  Please ma make sure we have any important medical info on file.  Please relay to coaches where any important medications (ex. epipen, puffer) are and communicate where they'll be kept during camp.   If our camp rolls are printed before you add it to your Jackrabbit profile, you may need to add to our paper copy.  If your child has permission to leave on their own, you will write your child's name on the pick up list.  

If you need to pick up your child early from camp, please let the coaches know at drop off.  If it is an afternoon early pick up and the campers are at a park, the coach will tell you the location in the morning, if there is a change to that plan due to rain, they will email you the updated location of where to pick up your child through the Jackrabbit portal.  

SAFE ARRIVAL

If your child cannot attend camp, you must mark them away in the Jackrabbit portal.  You must use the portal to mark absences so that the coaches can see the absence in real time.  We will call parents at 9:15am if children have not arrived at camp.

OUTDOOR TIME

Weather permitting, campers walk to local parks for outdoor activities, playground or splash pad after lunch for some outdoor time. 

Our tentative park schedule is:

Monday - Earlscourt park 

Tuesday - Davenport Village Splash Pad

Wednesday - Davenport Village Playground

Thursday - Earlscourt Splash Pad

Friday - Primrose Parkette 

*On splash pad days, we recommend sending your child with a dry change of clothes for when they get back to the gym*

**Please do not send your camper with money.**

Please note that the above schedule is subject to change.  

SNACKS/BREAKS/WASHROOM

Participants will be asked to wash their hands before eating, after using the washroom, and after any breaks.  

PICK UP- 3:55-4:00pm (Post-camp Supervision registrants 4:00-5:00pm)

Please be on time and waiting outside to pick up your camper when the door is opened up at 3:55pm.  We appreciate that our coaching team may have important commitments outside of their scheduled work day.  A late pick up fee of $2 per minute will be charged to your Cirque-ability account if you or your designated pick up person arrives after 4pm (or 5pm if signed up for post-camp supervision).

If someone arrives to pick up your child that is not on the pick up list (that you provided at morning check in), they must be listed as a contact or emergency contact in your Jackrabbit portal or we will not release your child to them.  

CAMP SHOW - Friday 3:30pm 

On Fridays, you're invited to an end of week demonstration put on by the campers.   

Please arrive on time.  

CONTACT OUR CAMP STAFF

When possible our coaching team will check imessage or email for any urgent communication.  Ex. You forgot to send a lunch and want your child to know that you'll drop it off, you have to unexpectedly pick up your child early, you want your child's coaches to be aware of a situation or share additional information about your child with them, etc.    Please be aware that these messages are only received while at the gym and will not be received during outdoor time.

Scheduled Absences and Make-ups

 You have the ability to enter absences and schedule your own makeup classes in the portal!

*We do not guarantee that you will be able to make-up all missed classes. Please read the make-up policies in full below to avoid confusion or disappointment* 

  • Absence must be entered by client in the Jackrabbit portal at least 2 hours prior to the class time to be eligible for a make-up token. 
  • When you submit your absence in the portal, it frees up a space for a make-up student, we appreciate if you submit absences as soon as you know that you'll miss.  This creates more make-up opportunities for everyone.
  • Absences submitted by email aren't inputted into Jackrabbit in real time and are not eligible for a make-up token.
  • If your class has a future start date, you won't be able to mark absences or book make-ups until your class begins and you are an active registrant.
  • Make-up classes can be booked up to 2 days in advance and you can book prior to your planned absence or up to 2 months after the absence as long as you are a current class registrant.
  • When the class term ends or when you drop a class, make-up tokens deactivate and can no longer be booked.  
  • Make-ups are not guaranteed and are subject to availability.  Sometimes our classes are full and make-up options will not be available or there won't be a similar type of class on the schedule and no make-up option will be available.
  • For quality and consistency in our classes and to avoid disruption to the class you are booking into for a make-up, you can only book a make-up in the same type of class that you are registered for or that you have been previously registered in (or have experience with). 
  • You can book into a class that is the same length or shorter.   If you book into a longer class, you will be charged the difference in price or you can email us to ask to apply a 2nd make-up token on file.
  • Missed private lessons can only be made up with group classes.
  • No make-ups for missed days of camp. 
  • There are no refunds or credits put on file for missed classes that cannot be made up and make-up tokens do not carry over to future terms/sessions.
  • There may be some weeks where make-ups aren't permitted like photo week or show week. We will do our best to notify you in advance.  
  • We do not recommend make-up classes for all children, especially those 7 & under.  Many younger children need a few weeks with the same coach and classmates to feel comfortable and confident in their class and to understand the structure and routine of their class.  It's hard for some children to walk into a class with a different coach and a different group of kids and a different structure and participate.  In the case that a make-up student is hesitant to jump in, for quality and consistency in our programs,  the coach does need to prioritize their regular students over the makeup student.  Please understand this in advance.  We trust that you know your child best and whether a make-up class will be suitable for them.
